Background

The Department of Ophthalmology at saint Paul’s Hospital millennium medical college (SPHMMC) is looking for an administration and program assistant as per the job description and requirements shown below.

 

Summary of Main Duties and Responsibilities

Provide ongoing administrative, logistics, financial and programmatic support for all activities in the department

Main Duties and Responsibilities:

  • Support all programs and projects under the department
  • Provide day to day follow up of programs and activities and report to the Department head
  • Oversee proper implementation of programs and projects under the department
  • Help in the implementation of the strategic plan of the department
  • Provide guidance and help to the secretarial support of the department and serve as one in their absence
  • Provide services such as maintaining organized filing, scheduling of appointments, scheduling of meeting and conference calls, taking minutes of meetings and conference calls and distributing to participants
  • Support printing and distribution process of guidelines, and ensure proper documentation of all program documents
  • Support the department in processing procurement, logistics, administrative and financial documentation requests to include coordination with relevant operational units
  • Support he department in organizing and coordinating training sessions, including overall event management; scheduling, preparation of invitation letters, duplication of materials, payment of required fees /per diem etc
  • Coordinate out reach programs/ surgical or non-surgical campaigns of the department and provide overall report of the carried –out program
  • Support the department in maintaining major programmatic implementation systems: work plans, budgets, reporting requirements, various internal and external programmatic / financial documentation /requests
  • Help in writing quarterly activity reports
  • Perform other duties as assigned by the Department head

Minimum Requirements:

Knowledge:

  • Excellent communication skills
  • Written and verbal proficiency in Amharic and English; Knowledge of additional local languages is a plus
  • Computer proficiency in basic Microsoft and data analysis package
  • Proven track record of goodness at team work
  • Good planning and time management skills
  • Basic knowledge of the discipline of Ophthalmology and surgical or nonsurgical outreach /campaign programmatic issues
  • Committed to work non-traditional working hours
  • Able to multi task and respond to multiple requests, handle urgent requests from different levels and deal with internal and external deadlines
  • Basic knowledge in research in the area of Ophthalmology

Travel:

  • Willing to travel as required for event management /meetings
  • Willing to travel as required for surgical or non-surgical outreach campaign sites

Education:

  •  Masters in public health or other related fields with ophthalmic background
  • Bachelors’ degree in management or other related fields with ophthalmic back ground

Experience

  • At least 3 years’ experience of program management in the area of Ophthalmic practice
  • Coordination of trainings/others major events
  • Familiarity with eye care programs
  • Experience of working relationship with Gov’t & Non Gov’t offices
  • Experience in conducting and coordinating ophthalmology related research
